DynaTrail Dispatch Systems Inc. (“DynaTrail,” “we,” “our,” or “us”) is committed to protecting your privacy and personal information. This Privacy Policy explains how we collect, use, store, and disclose your information when you use our SaaS dispatching software and related services (the “Services”).

By accessing or using our Services, you consent to the practices described in this Privacy Policy.

1. INFORMATION WE COLLECT

We collect personal, business, and operational information necessary to provide and improve our Services, including but not limited to:

  • Business and Account Information: Company name, contacts, emails, phone numbers, and account credentials.
  • Freight and Operational Data: Pickup and delivery addresses, shipment details, costs, and client information.
  • Driver and Carrier Information: Names, dates of birth, driver’s license numbers, passport numbers, and other identification details necessary for operational purposes.
  • Financial and Transaction Data: SaaS subscription payments processed securely via Stripe (we do not store credit card data), and invoice data transmitted to QuickBooks.
  • Technical and Security Data: Login activity, IP addresses, and browser/device info to maintain account security and enforce single-session login.

This information is collected solely for operational purposes and is not sold or rented to third parties.

2. HOW WE USE YOUR INFORMATION

  • Operate and improve our dispatching Services
  • Process and transmit invoice data to QuickBooks
  • Maintain driver, carrier, and shipment records
  • Communicate with you regarding your account and updates
  • Comply with legal, regulatory, and security requirements

We do not currently use your information for analytics, marketing, or advertising purposes.

3. DATA STORAGE AND SECURITY

3.1 Storage: Data is stored indefinitely on secure servers, protected with HTTPS and SSL/TLS encryption.

3.2 Access Control: Single-session login enforcement; internal access is strictly limited to authorized staff.

3.3 Cross-Border Data Transfer: Data may be stored in Canada or the U.S., and use of the Services constitutes consent to cross-border transfer.

4. DATA RETENTION AND DELETION

4.1 Retention: We retain collected data indefinitely unless required by law to remove it earlier.

4.2 Deletion Requests: You may request account and data deletion in writing. Verified requests will result in permanent deletion, except where retention is required by law.

4.3 Data Export: Currently, DynaTrail does not offer data export functionality.

5. DISCLOSURE OF INFORMATION

We may disclose information only to:

  • Service Providers: QuickBooks, Stripe, or other trusted vendors necessary to operate our Services.
  • Legal Compliance: When required by law, regulation, or legal process.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets.

We do not sell or rent personal or business information.

6. YOUR RIGHTS UNDER BC AND CANADIAN LAW

Under British Columbia’s PIPA and Canada’s PIPEDA, you may:

  • Request access to your personal information
  • Request corrections to inaccurate or outdated data
  • Withdraw consent to data collection and use (with service limitations)
  • Request deletion of personal data

We will respond to verified requests within 30 days, as required by law.

7. LIMITATION OF LIABILITY

While we employ industry-standard security measures, no system is completely secure. DynaTrail is not liable for unauthorized access, breaches, or data loss arising from factors beyond our control, including third-party integrations such as QuickBooks.
